1. Who we are

GreenWave Heat Pumps Limited (CRO 811710) is a heat pump performance consultancy based in Ireland. We provide free online heat pump health checks and engineer-led service visits. Our contact email is hello@greenwaveireland.ie and our Data Protection contact is dpo@greenwaveireland.ie.

2. What data we collect

When you complete a GreenWave assessment, we collect:

• Your name, email address, and phone number
• Your property eircode, county, and property type
• Information about your heat pump (brand, model, approximate age)
• Information about the issues you have reported (complaints, fault codes, comfort concerns)
• Your electricity supplier and approximate monthly bill
• Any photographs you choose to upload or email to us
• Your GDPR and monitoring consent choices

If you book an engineer visit, we additionally collect scheduling information (preferred dates and access details) and the engineer's on-site findings, before and after system readings, and any report generated during or after the visit.

3. How we use your data

We use your data to:

• Generate your heat pump health indicators and recommended service
• Send you your assessment results and reference number by email
• Review your case and issue a quote if appropriate
• Schedule and carry out engineer visits
• Generate your written service report and make it available in your personal portal
• Contact you about the status of your case, booking, or report
• If you have consented, send occasional tips and seasonal heat pump guidance

We do not use your data for automated decision-making that produces legal or similarly significant effects. Our system generates health indicators and written summaries automatically but all case decisions are reviewed by a GreenWave engineer before any action is taken.

4. Legal basis for processing

We process your data on the following legal bases under GDPR:

• Contract performance — processing necessary to provide the assessment and engineer services you have requested
• Legitimate interests — processing necessary to operate and improve our service, provided your interests do not override ours
• Consent — for marketing communications and performance monitoring, which you can withdraw at any time by emailing dpo@greenwaveireland.ie

5. Who we share your data with

We do not sell your personal data to third parties. We may share data with:

• GreenWave engineers assigned to your case (name, contact, property address, system details)
• Our infrastructure providers (cloud hosting and database services) under data processing agreements. Our primary hosting provider operates under the EU-US Data Privacy Framework.
• Email delivery services used to send your results and confirmation emails
• Artificial intelligence services used to generate written summaries and engineer recommendations from anonymised job data. These services are bound by data processing agreements and do not use your data to train AI models.

6. How long we keep your data

We retain your assessment and case data for 7 years from the date of your last interaction with GreenWave. This allows us to maintain a service history for your property and comply with any warranty or legal requirements. Assessments that do not progress to a booked visit may be deleted after 12 months of inactivity. You can request earlier deletion at any time by emailing dpo@greenwaveireland.ie.

7. Your rights under GDPR

You have the right to: access a copy of your data, correct inaccurate data, request deletion of your data, restrict or object to processing, and data portability. To exercise any of these rights, email dpo@greenwaveireland.ie with your name and the email address you used when completing your assessment. We will respond within 30 days. You also have the right to lodge a complaint with the Data Protection Commission Ireland at dataprotection.ie.

8. Local storage and cookies

GreenWave's homeowner portal does not use tracking cookies or third-party analytics. No data is collected for advertising purposes.

We use browser localStorage to temporarily store your assessment draft while you complete the form, and to save your results reference so you can return to your portal without losing your place. This data is stored only on your own device. You can clear it at any time by clearing your browser storage or using your browser's privacy settings.

9. Security

Your data is stored in a secured database with access restricted to authorised GreenWave staff. Connections to our portal and API are encrypted using TLS. We conduct regular reviews of our data handling practices. In the event of a data breach that affects your rights or freedoms, we will notify the Data Protection Commission and affected individuals within 72 hours of becoming aware of the breach.

10. Changes to this policy

We may update this policy from time to time. The current version is always available at this URL. If changes are material, we will notify you by email if you have an active case with us. The date at the top of this page shows when it was last updated.
